Reservation Policy

 

1. In order to be placed on the calendar, you must provide a Reservation Form and Policy Acceptance Form, and a deposit. (Instructions for opening forms)

The deposit is non-refundable if you cancel, but if you arrive with at least 75 percent of your projected number, the deposit is applied to your final invoice.

2. Once your forms and deposit are received, we will mail you a confirmation letter and an Event Planning Guide. Check the information for accuracy. If there is any discrepancy, notify the office immediately. Review the Event Planning Guide.

3. Notify the office of any changes. For best accuracy, contact the office if you have significant number changes.

4. We must receive a guaranteed number at least five working days before your arrival. The guaranteed number is the minimum number of campers that we will charge for. If we do not hear from you five days prior to your event, then your projected number is the guaranteed number. A Guaranteed Number Form (Instructions for opening this form) is provided in the Event Planning Guide. Please note that the guaranteed number can be no less than 50% of your projected number as of 90 days prior to the event.

5. Payment is due upon arrival and must be made with check or cash.

6. We do not guarantee specific meeting rooms or cabins, but you may make requests and we will make an effort to meet them. Cabin and meeting room assignments will not be made until the week of your conference, unless you have exclusive use of the facility.

7. The group leader is responsible for making sure appropriate release forms are completed. See the Event Planning Guide for the forms required.

8. All youth or children groups must have a one adult to ten youth ratio.
